WELCOME LETTER TO VOLUNTEER

My name is Mr XXX and I will be your point of contact for your up and coming trip to India. I received your details and you want to come on or around April 13th to do project for 1 month. I just wanted to tell you that it looks fine and we will have a place for you. I will call you in a few days to see if you have any questions or doubts.
 
I grew up in Chennai, India. I study English Translation at Cordoba State University. I will be very happy to help you by answering any and all of your questions regarding not only accommodation and placement but also about the fascinating Indian culture.
 
Perhaps the most important part of undertaking a successful project is the preparation that you put into your placement before you leave home.  In that respect, it is my task to assist you with this by providing all the tips, hints and advice that I can, not only by working with our concern and our programmes but also as an Indian. You can reach me by email and I will get back to you with all the information you need as soon as I can which will generally be within 1 or 2 working days. You can also reach me by telephone or leaving a message with the English Office and I will phone you back at home or whatever number you leave so we can have a chat. The reason for this is because there is a time difference of 10 - 12 hours between US and India. With that in mind please do make sure that we have your up-to-date contact details at all times, especially if you are planning on travelling or not being at home at anytime before you come to India.
 
If you have a Skype account, you may also wish to add me to your contacts so we can have a chat on there. My user name is XXX. I will normally show as 'Busy' as I deal with several different concerns in our office every day so, please, text me to ask if I can speak at that moment and wait for my confirmation. I am usually online Mondays through Fridays from 9am till 5pm Indian time.

Soon, i will be e-mail you the handbook. Please take a few moments to read the handbook. The handbook contains detailed information about India and will answer many common questions that you may have.

I can see that you have chosen to book your own flights. Please note that you should fly into Indian airport, where a member of staff will be waiting to meet you.
 
Please let me the details of your flight arrival and departure once you have them confirmed.
 
On a separate note, could you please email me a copy of your resume/CV in English so that I can get to know your personal profile better? Please, include a picture if possible. You will be able to see a picture of me on the attachment.
 
Finally, I would like to know whether you speak any Tamil as this is very important for a work placement in India. In case you don't, what are your possibilities to start working on it?
 
This is all for now but I will be in touch again shortly to see how your preparations are going. Of course if you have any questions before then don't hesitate to let me know, however trivial they may appear to you to be.

WELCOME EMAIL TO NEW TEAM MEMBER:

We are very happy to know you will be here with us from 2013 for our Project.  I´m going to be your Project point of contact here in this concern.  My role is to help you prepare for your work project with us and to support you while you are working here. Please find my contact phone numbers at the bottom of this email. You can call or e-mail me any time you need, I will be glad to help you.

Please read this email carefully, it contains lots of important information.

I noticed in your resume you do possess some special work experience and certifications.

Please note that due to new regulations of our company, all employees on our project in the concern now need to provide us with a copy of the mark sheets, photo identity proof, two written and signed character references (these can be from a tutor, academic referee, employer, or another adult in a position of authority who knows you well), and a copy of your passport. These should be scanned and sent to me by email.

You will also need to bring the originals with you to office first day.  Please note that if you arrive in office without the documents complete you may not be able to start your work. If you have any problems in obtaining the papers please let me know so we can provide alternative options if needed.


In order to place you the most appropriate team, please email me the stream of learning. This is required by all our partner organizations and will enable me to organize your project and send you the details in good time.  Tell me about your previous experiences, qualifications and interests that will help very much as well.

Further information will be available on your welcome brochure, which will be set up for you in the next few days.  We will send you an email to notify you once your log is active and give you your username and password. 

Once your log has been set up, please take a few moments to read the handbook. It contains detailed information about project and will answer many common questions that you may have.

We would also like to let you know that all employees on our projects in the company have the option of adding on another projects to their work option. Please check our project portal for the detailed information.

Please remember that you are coming to office with the necessary papers to join the work! It is important that you take your work seriously, attend your project regularly and respect the people with whom you live and work.
